Sitekeeper is a client portal built and maintained by an independent developer in Northern California. This Privacy Policy explains how we collect, use, and protect your information when you use our service. We believe in being straightforward about what data we collect and why.
What Information We Collect
Account Information
When you create an account, we collect your name, email address, and login credentials. This information is necessary to provide you access to your Sitekeeper portal.
Website & Domain Information
We store information about your website and domain, including domain names, expiration dates, hosting details, and related metadata. This is the core information you access through Sitekeeper.
Contact Form Submissions
If your website includes a contact form, we collect and display submissions sent through that form. This typically includes the sender's name, email, message content, submission date, IP address, and the origin domain of the submission.
Analytics & Tracking Data
We collect basic analytics about form views and interactions, including IP addresses, user agent information, referrer URLs, platform type, and geographic region. This helps us provide insights about your website's contact form performance.
Chat & Support Messages
When you use the chat feature to communicate with us, your messages are stored in Firebase Realtime Database for real-time delivery and in local backups. Messages may also be forwarded to Discord for notification purposes.
Product List Data
If you use the Live Product Lists feature, we store the item data you create, including names, descriptions, prices, availability status, and any product images you upload. This content is stored on our servers and served publicly via a read-only API endpoint. Images are stored as files on our infrastructure and are accessible by anyone with the direct URL.
Billing Information
Payment processing is handled securely by Stripe. We do not store your credit card details or full payment information. Stripe may share transaction records and billing details with us for account management purposes.
What We Don't Collect
We don't collect unnecessary personal data. We don't store raw credit card numbers or sensitive financial information—that's all handled by Stripe. We don't track your browsing habits outside of Sitekeeper, and we don't sell your data to third parties.
How We Use Your Information
Providing the Service: Your data is used to give you access to your portal, display your website information, and manage your account.
Communication: We use your email to send important updates, respond to support requests, and notify you about domain expirations or service changes. This includes 2FA codes, website alerts, and other critical notifications sent via Brevo and SiteKeeper's email API.
Product Lists: Product list data and images you upload are stored and served publicly to power the Live Product Lists feature on your website. We do not use this content for any other purpose.
Billing: Transaction information is used to process payments and manage subscriptions.
Service Improvement: We may analyze usage patterns to improve Sitekeeper, but this is done in aggregate and doesn't identify individual users.
Third-Party Services
Sitekeeper relies on trusted third-party services to function. Here's what they do:
Firebase & Firestore
We use Google Firebase and Firestore for authentication and database storage. Your account information and portal data are stored securely on Firebase's infrastructure.
Stripe
All payment processing is handled by Stripe, a PCI-compliant payment processor. Stripe manages your billing information according to their own privacy policy.
Namecheap
If we manage your domain on your behalf, it's registered through Namecheap. Domain registration information is subject to Namecheap's privacy policy and ICANN requirements.
Netlify
Some websites are hosted on Netlify's infrastructure. If your site is hosted there, Netlify may collect standard web server logs and analytics according to their privacy policy.
GitHub
Website files and code may be stored in GitHub repositories for version control and deployment. GitHub's privacy policy applies to any data stored there.
Let's Encrypt
SSL certificates for secure HTTPS connections are provided by Let's Encrypt. Certificate issuance may involve domain validation and is subject to Let's Encrypt's privacy practices.
Email Communications
We send important emails through Brevo and SiteKeeper's custom email API. These emails include two-factor authentication (2FA) codes, website alerts, domain expiration reminders, billing notifications, and other critical account information. By using Sitekeeper, you agree to receive these emails at your account email address or any alternate email you configure in your Sitekeeper account settings.
Discord
Support messages may be forwarded to Discord via webhooks for notification purposes. This helps ensure timely responses to your inquiries.
Data Security
We take security seriously. Your data is stored on secure, industry-standard infrastructure (Firebase/Firestore). Access to your portal is protected by authentication, and sensitive operations require verification. While no system is 100% secure, we follow best practices to protect your information.
We implement rate limiting (300 requests per hour) to prevent abuse and protect against automated attacks. All connections use SSL/TLS encryption provided by Let's Encrypt.
Your Rights
Access Your Data: You can view all your information through your Sitekeeper portal at any time.
Request Deletion: If you want your data deleted, contact us and we'll remove it from our systems. Note that some information may be retained for legal or billing purposes.
Update Information: You can update your account details directly in your portal or by contacting us.
Export Your Data: You can request a copy of your data in a portable format.
Cookies & Analytics
We may use basic cookies to keep you logged in and improve your experience. We don't use invasive tracking or advertising cookies. If we implement analytics in the future, it will be minimal and focused on improving the service.
Changes to This Policy
We may update this Privacy Policy from time to time. If we make significant changes, we'll notify you via email or through your portal. The "Last updated" date at the top will always reflect the most recent version.
